Commercial deployment and sponsored access are separate routes

Independent schools, groups and transport providers can purchase SchoolsOut as a premium commercial platform. Eligible verified schools can apply separately for a fully sponsored Safety Access license using official evidence such as current No Fee School and quintile records.

The funding state stays visible in the underlying model so commercial customers, SchoolsOut-sponsored institutions and partner-sponsored institutions are never collapsed into one misleading revenue number.

The duty of care continues through collection and transport

A learner may be collected at the gate, attend an after-school activity, board organized transport or leave with a different authorised adult. Staff and families need the same current plan when these movements happen at scale.

SchoolsOut connects changes, expected mode, parent arrival, authorised collection, transport visibility and recorded handoff. The responsible institution still owns safeguarding decisions, identity checks and emergency escalation.

Treat learner transport as a child journey

Fleet systems answer important vehicle questions. Families and schools also need child-specific operational clarity: is the learner travelling today, did the expected movement happen, and was the learner received at the destination?

A transport delay, changed arrangement, absent guardian or lost connection needs an accountable fallback. SchoolsOut does not claim route optimization, maintenance, fuel, payroll or dispatch ERP capabilities.

  • Current travel plan and absence changes
  • Parent or guardian visibility
  • Vehicle progress where configured
  • Receiving-adult handoff
  • Operational history after the journey

Handle changed collectors without a paper-note race

Parents may rely on grandparents, relatives and other trusted adults. A same-day change should reach authorised staff with enough context to pause, verify and release safely.

Software supports the shared record; it does not replace human judgment. If the arriving adult and current plan differ, the learner remains supervised while staff follow the school’s escalation procedure.

Pilot one gate, phase or route

Begin where the operational strain is visible: a busy primary-school gate, a particular phase, an after-school group or one learner-transport route. Define responsibilities and offline fallback before launch.

Measure adoption and completed workflows without publishing fake safety claims. Expand after staff and families can use the process on ordinary and disrupted days.

Questions South African schools ask

Is SchoolsOut only for independent schools?

No. Commercially funded institutions can purchase it, and verified eligible schools can apply separately through Safety Access.

Does SchoolsOut replace learner-transport fleet software?

No. It focuses on the learner plan, family visibility and receiving handoff beside vehicle operations.

Can a guardian change the collector during the day?

The workflow can support same-day changes within the school’s authorisation and escalation policy.

Can a school begin with one route?

Yes. One route, gate, phase or after-school group is an appropriate first deployment.
