A learner may be collected by a parent, walk to an on-site programme, travel to an off-site provider or use school transport. The school, programme, driver and family each need the same answer about today—not last week’s recurring arrangement.

Families may rely on parents, grandparents, caregivers and temporary delegates. A same-day change should show who requested it, whether it was accepted, which staff need to act and what happened at handover.

A booking tells the programme to expect a child. It should also help staff recognise an absence, an unexpected arrival, a changed collection time or a late caregiver.

Use naturally appropriate local language, including whānau where it fits the organisation, without tokenism. Test ordinary days and hard exceptions before expanding.
