A booking is the beginning of the care workflow

Before-school, after-school, pupil-free-day and holiday care all begin with expected attendance. The service then needs to reconcile who arrived, who was reported absent and who remains in care. SchoolsOut connects booking and recurring booking to the onward collection plan.

Providers can retain systems used for CCS, fees, enrolment, ratios and staff administration. SchoolsOut does not claim to replace those functions.

Reduce uncertainty between school and OSHC

For after-school care, responsibility transfers from the school day into the service before it later transfers to a carer. Staff need a current expected list, a way to resolve an unaccounted child and a record of arrival into care.

An absence or changed plan should reach the relevant people before staff begin searching across classrooms, offices and family messages.

Give educators current authorised-collection context

The usual parent may be replaced by another carer or an authorised nominee. The useful workflow connects the approved person to today’s collection and makes the outcome visible to the educator completing release.

Make late pickup operationally explicit

When a carer is delayed, the child stays supervised and the case follows the service’s published procedure. Parent delay or ETA, notifications and emergency contacts can support coordination while the final collection remains unresolved.

Booking and recurring booking are supported capabilities. The service’s exact availability, cancellation and fee rules are configured or retained in its existing administration platform.

What happens when a booked child is absent?

Absence can be represented as an exception so staff are not left treating the child as unexplained. The service defines confirmation and escalation.

Can another carer collect the child?

Authorised and delegated collection supports approved carers and temporary nominees within service policy.

Does SchoolsOut calculate CCS or late fees?

No CCS, subsidy or payment-processing claim is made. Those functions remain with the provider’s existing system.

Is there a fallback when a family cannot use the app?

Manual and no-app fallback processes are supported and should be rehearsed during the pilot.
